In brief

  • You keep everything that is yours: your business facts, photos, words and your visitors' details.
  • Website changes go live when you publish them. Social posting is available, with Autopilot only after you opt in.
  • We handle your visitors' inquiries only to run your site and inbox for you, under the data terms in section 7.
  • Publishing a site needs a plan, which renews automatically until you cancel it in Billing (section 9). You can leave at any time; section 10 says what we delete.

1. Who this agreement is with

These terms are an agreement between you and Gradient Reactor LLC, a California limited liability company ("PlacePilot", "we"). They apply when you create an account, run a scan or use the studio, the websites we build or any other part of PlacePilot (the "service").

If you accept these terms for a company, you confirm you may bind it; "you" then means the company. You must be at least 18.

2. What PlacePilot does

PlacePilot is an AI platform that helps you launch a business or improve an existing business's online presence. It researches public business information, builds and hosts websites, and gives you a studio where you work with an AI assistant.

Social posting is available. You can connect accounts you are authorised to manage. Autopilot posting requires your opt-in; you can choose ask-me-first instead, or pause posting. Replies to comments and messages are not available yet; when they are, they will need your approval.

PlacePilot does not process payments from your customers. You pay for your own PlacePilot subscription separately, as described in section 9.

We improve the service all the time and may change or remove features.

3. Your account

Give us your real name and an email address you read. Keep your password to yourself; you are responsible for what happens under your account.

Only claim a business you own or are allowed to act for. We may ask you to show that, and we may remove a site from an account that cannot.

4. Your content

Your content is what you give us or already published: facts, prices, photos, logos, texts and your chats with the assistant. It stays yours.

You give us a licence to use your content to run and improve the service for you: to store it, to research and rewrite it into your site, to host and show the site, and to back it up. This also covers preparing and sending social content to accounts you connect, within the permissions you give us. The licence ends when the content is deleted, except for copies in backups until they expire.

Only upload what you have the right to use. Photos we take from your map listing keep their author's credit on your site.

5. AI-written drafts

The assistant and our research agents write drafts with AI models. We check them against the sources we found, but a draft can still be wrong or out of date.

Read every change before you publish it. Once you publish, you are responsible for what your site says, the same as if you had written it yourself.

6. Your website

Your site is hosted by us under a PlacePilot address or a domain you connect. Changes go live only when you publish them; you can roll back to an earlier version at any time.

Your site carries a small "Website by PlacePilot" credit and a privacy notice for your visitors, which names your business as responsible for their details. Keep your business's details in it correct.

Links and buttons can open other companies' services, including booking services you choose. Those companies' own terms apply to them.

7. Your visitors' data

When a visitor sends an inquiry or booking request through your site, you are the controller of their details and we are your processor. This section is our data processing agreement with you (Article 28 of the GDPR, and the same role under other privacy laws).

  • We process visitors' details only to deliver their message to you, show it in your inbox and notify you, and only on your instructions as set out in these terms.
  • Everyone at PlacePilot who can see them is bound to keep them confidential, and we protect them with the measures in our privacy notice.
  • You allow us to use sub-processors in the categories listed in our privacy notice, bound by data protection duties like these. The list of companies is available on request; ask and we will tell you before we add one. If you object to a new one, your remedy is to end this agreement.
  • We help you answer a visitor who asks to see, correct or delete their details, and tell you without undue delay of a breach that affects them.
  • We delete inquiries from your inbox after 12 months, or sooner when you delete them. When the agreement ends, we delete or return your visitors' details, as you ask us to.
  • We help you with your security, breach and impact assessment duties as far as they concern our service, and give you the information you reasonably need to show that these duties are met, which is how an audit takes place.

You are responsible for having a lawful reason to use your visitors' details and for answering them.

8. Fair use

Do not use PlacePilot to break the law, to publish false or misleading claims, to send spam, to copy someone else's site or content, or to attack, overload or probe the service.

We may limit, pause or refuse work that goes far beyond normal use, or that we believe breaks these terms.

9. Plans and payment

The scan, the report, your account, the studio and draft previews are free. To publish a business's site you need a plan that covers it: each business has its own plan (Owner or Group, and you can mix them), or the Agency plan covers up to 10 businesses; a site on a premium design needs the Group or Agency plan. All your plans are on one card and one invoice, with a line for each business. When you add a business's plan or move it up during a period, the difference for the rest of the period is charged at once. Our pricing page shows what each plan includes.

  • Owner: one business, US$24.99 a month or US$249.90 a year
  • Group: one business, US$74.99 a month or US$749.90 a year
  • Agency: up to ten businesses, US$499.99 a month or US$4,999.90 a year

How many businesses. A plan covers as many live businesses as it says, the ones you added to your account first. To publish one more, move to a plan that covers it; the sites already live stay live. For more than ten, write to us.

Tax. Prices are in US dollars, or the same figures in euros where checkout shows euros, and do not include tax. Sales tax, VAT or a similar tax is added at checkout where it applies. If your business gives a valid VAT number in a country where the reverse charge applies, we add no VAT and your business accounts for it.

No free trial. A plan starts when you choose it, and we charge the card its price plus tax then. A free trial started before 6 October 2026 runs to its end as agreed, and the plan then starts and is charged unless you cancel before.

Sites live before charging began. They publish free until a date we tell you by email; after it, publishing needs a plan. You can choose one before then and pay nothing until that date. Accounts that existed before we started charging get an email with the plan, its price and the date before their first charge.

Automatic renewal. Your plan renews automatically at the end of each month or year, as you chose, and we charge the card on file each time, until you cancel. Each charge is the plan's price plus tax, less any discount you applied while it lasts. You can cancel at any time in Billing on your account page; you do not need to write to us.

Cancelling and switching. When you cancel, your plan runs to the end of the period you paid for (or of the free trial), then ends, and nothing more is charged. You can switch plans in Billing. Between plans, the difference for the rest of the period is added to or credited on your next invoice. Between monthly and yearly, a new period starts at once: we charge the new price then, less a credit for the unused time.

Refunds. Payments are not refundable, including for the unused part of a month or year, except where the law requires a refund. If we charge you twice for the same plan, we refund the second charge.

Failed payments. If a payment fails, the studio tells you, and you have 14 days to update your card in Billing, during which you can still publish. After that, or at once if the first charge after a free trial fails, you cannot publish changes until the payment goes through or you choose a plan again. Your live site stays up.

Price changes. We will email you at least 30 days before a new price applies to your plan. It applies from your next renewal after that, and you can cancel before then.

Your card. Payments are processed by our payment processor on its own checkout page and billing portal, where your invoices are too. We never see or store your full card number. Questions about a charge: support@getplacepilot.com.

10. Ending the agreement

You can stop at any time by deleting your account or asking us to. Before you go, you can ask us for a copy of your data.

We may suspend or end an account that breaks these terms or puts the service or others at risk.

Deleting your account cancels its plans at once, without a refund for the rest of the period. To use the time you paid for, cancel in Billing and delete your account when the plan ends.

When you delete your account, we delete its chats, notes, history and settings. We take its sites offline and delete them and their inquiries when you ask us to at support@getplacepilot.com. Sections 4, 7, 11, 12, 13 and 15 continue to apply, and section 9 for amounts already due.

11. Indemnity

To the extent the law allows, you will defend and indemnify PlacePilot against claims, losses and costs (including reasonable legal fees) that arise from your content, what your site says, how you use your visitors' details, or your breach of these terms.

12. Warranties and liability

PlacePilot is provided "as is" and "as available", without warranties of any kind to the extent the law allows. We do not promise a search ranking, an audience size, sales or inquiries, or a service free of errors or interruptions.

To the extent the law allows, PlacePilot is not liable for indirect, incidental or consequential losses or lost profits, and PlacePilot's total liability under these terms is limited to the greater of the amounts you paid us in the 12 months before the claim and US$100.

Nothing in these terms limits liability that the law does not allow to be limited, or any rights you have as a consumer that cannot be waived.

13. Law and disputes

These terms are governed by the law of the State of California, without regard to its conflict-of-law rules.

Please write to us first: most problems can be solved that way. If we cannot solve a dispute within 60 days, it will be settled by binding individual arbitration administered by the American Arbitration Association under its Consumer Arbitration Rules, not in court, and not as part of a class or representative action. Either of us may still bring a claim in small claims court or ask a court to stop an infringement of intellectual property.

You may opt out of arbitration by emailing support@getplacepilot.com within 30 days of accepting these terms. If you opt out, or arbitration does not apply, disputes go to the state and federal courts located in California.

Nothing in this section waives a right to seek public injunctive relief where the law gives one. If you live in the European Economic Area, the United Kingdom or Switzerland, the arbitration and class action waiver do not apply to you, and you may bring a claim in the courts where you live.

14. Changes to these terms

We may update these terms. We will email you at least 14 days before a material change takes effect; if you keep using PlacePilot after that, the new terms apply.

Questions about these terms: support@getplacepilot.com.

15. General

These terms, with the privacy notice, are the whole agreement between us about PlacePilot. If a court finds part of them unenforceable, the rest stays in force. You may not transfer these terms without our consent; we may transfer them to a company that takes over PlacePilot. Not enforcing a term is not a waiver of it.

16. Domains

If your plan includes a domain, the business you name in the registrant form owns it. We hold it in our account with our registrar and manage it for that business while these terms apply. You confirm that the details are true, that you may act for the business, and that the business accepts the registrar's registration agreement.

The included first registration must be a standard name whose registration and annual renewal prices are each no more than $25. Registration is final and non-refundable, including if you misspell the name, stop your plan, dispute a payment or later move the domain.

We use registration privacy and redaction where the registry permits it. We send the registrant details to our registrar and the registry. Keep those details current and use the verification email they send: an unverified domain may stop working.

While the domain remains entitled under your plan or a team grant, we renew it when its annual renewal price is no more than $60. You can opt out of renewal at any time; do so at least 31 days before expiry. If your entitlement ends, the domain stays yours but does not renew unless entitlement returns before it expires.

For the first 60 days after registration, registry rules prevent a move. After that, ask in the studio and we will send the transfer code to the registrant email within two working days. The website stops using the domain when it moves; our DNS keeps answering its other records for 30 days so you can copy them to the new provider.

Ask us to add reasonable email, booking, verification or other DNS records. The records that serve the PlacePilot website stay under our control while we host it. We may pause registration or management work needed to prevent abuse, loss or an unauthorised change.
